2024 Vendor Registration

Dear Vendor:


The 35th Annual Wisconsin Track Coaches Association Clinic will be held on Friday February 2nd and Saturday, February 3rd at The Madison Marriott West in Middleton, Wisconsin.


Your dedication to our clinic during the past several years is greatly appreciated and we look forward to seeing you again this year. If you were not able to attend last year, we hope to see you back this year.


Despite rising costs of running the clinic, the WISTCA Executive Board has consistently stayed away from raising our vendor fee in order to recognize your dedication. However, we have come to a point where we need to ask for your help. As such, our fee for a vendor booth this year will be $300. The Board feels this is a reasonable fee and still well within the industry standard. Thank you for understanding.


In addition to the fee, we are still asking for three (3) door prizes worth at least $30.00 each. Please have these prizes on site with you so that they can be given away sometime during the day on Friday, February 2nd. Please have these door prizes on site to give away during the clinic.

In exchange for the $300 fee and door prizes, each vendor will receive the following:

  • One (1) 8’ x 10’ draped booth
  • One (1) 8’ skirted table
  • Two (2) chairs
  • Access to electricity
  • Signage indicating your company name
  • A list of all vendors will be in the hands of every registered attendee
  • NEW! VENDOR BINGO. Registrants will ask for your signature on a card in order to win prizes given away at our Friday Night Social. This is an effort to create additional foot traffic to your booth.

Other things you should know:

  • The vendor room will be located in the Wisconsin, Monona & Geneva Ballrooms.
  • “Double” booths are available upon request. Fee is $600.
  • There are additional options for sponsorship and advertising. Please review the enclosed materials to find out more about those opportunities.
  • We have been going paperless for several years and will not include brochures with our registration materials. We encourage you to have product flyers at your booth to hand out to coaches.
  • Vendors may not sell items using the terms “WISTCA,” “Wisconsin Track Coaches Association,” other like terminology or the official logo of WISTCA without express written permission of the WISTCA board. If permission is granted, the vendor will pay a minimum of 10% of the revenue of sales of such items. Failure to secure written permission will invalidate any contract with the vendor and WISTCA and result in a loss of vendor fee and loss of right to show at the WISTCA clinic.
  • Reservations for hotel rooms can be done directly with the hotel by calling 1-608-831-2000. Mention the WISTCA clinic. OR you can go to www.wistca.org and access hotel reservations using the directions on the “Clinic” webpage.

In order to guarantee your booth for the 2024 clinic, please sign and return the enclosed contract no later than Monday, January 8th, 2024. Any contracts returned after that time will be added as space allows.

Please send a business card back along with the contract. Also indicate the number of years your company has been attending the clinic.

Special Sponsorship Options

MANY OF YOU HAVE ASKED IN THE PAST TO BE INFORMED IF WE EVER HAVE SPECIAL NEEDS OR OTHER FORMS OF SPONSORSHIP FOR ADVERTISEMENT DEALING WITH THE WISTCA CLINIC. WE ARE SEARCHING FOR ANY BUSINESS WHO MIGHT WANT TO SPONSOR VARIOUS ASPECTS OF THE CLINIC. PLEASE REVIEW THE OPTIONS LISTED BELOW. CHECK OFF AN AREA THAT MIGHT INTEREST YOU AND LET ME KNOW WHAT YOU WOULD WANT TO DO.

  1. Money for the sponsorship of a specific event group to go toward the cost of speakers. This would be a minimum of $1000.00. Your company’s name will be advertised at each of the sessions in a specific event group. (Several rooms are still available for 2024.)
  2. Money for the sponsorship of our Saturday Hall of Fame Luncheon. Advertisement in the program and at the event. (Already signed for 2024)
  3. Money for the sponsorship of our Continental Breakfast. Advertisement in the program and at the event. (Still available for 2024)
  4. Money for the sponsorship of our Friday Night Dinner. Advertisement in the program and at the event. (Already signed for 2024)

If you have any other ideas as to how your business might be able to help out, please don’t hesitate to offer your thoughts. Your attendance at our clinic has been a great benefit to our membership. With the support of many people and businesses like yours, we have been able to continue to offer one of the very best coaches’ clinics in the country.
